Time blocking is a productivity technique that involves dividing your day into dedicated blocks of time, each assigned to a specific task or activity. By adopting this method, you create a structured schedule that allows you to focus on one task at a time, minimizing distractions and increasing efficiency.

Incorporating Existing Routines into Time Blocks

Start by considering your existing routines and using them as a foundation for your time blocks. By doing so, you ensure that your established routines continue to run smoothly while adding additional tasks. This approach helps you avoid disrupting your daily flow while capitalizing on your existing habits.

Determining the Size of Time Blocks

The next step is to decide the size of your time blocks. There are two main options: categorizing blocks into morning, afternoon, and evening, or using hourly blocks throughout the day. I prefers the latter method as it offers a little more structure.  By assigning one or two tasks to each hour, you can effectively structure your day and provide a timeline for your task list.

Margin and Prioritization

It’s important to leave margin time within your time blocks. Unexpected events and interruptions are bound to occur, especially for those of us with young kids or other unpredictable factors in their lives. By allowing extra buffer time, you can accommodate unexpected situations without throwing off your entire schedule.

Further, when dealing with a time block that contains multiple tasks, I suggest creating a numbered task list. This approach minimizes decision fatigue by outlining the order in which tasks should be completed. With a pre-planned sequence, you can effortlessly move through your list, checking off completed tasks along the way.
